The role
The Administrative & Communications Coordinator works across programs to support the execution of Smart Columbus’ portfolio of work. This role works closely with program leads to provide administrative and communications support for our sustainability and digitalization workstreams. Some responsibilities include communicating with key stakeholders, coordinating meetings, preparing meeting materials, and helping with special projects.

To be successful in this role, you should have a high attention to detail with excellent organization skills, and ability to prioritize tasks and meet deadlines. Ultimately, you will provide administrative support to our staff and ensure all daily procedures run smoothly.

Director of Operations
Essential duties and responsibilities
- Provide administrative support such as scheduling and coordinating meetings, preparing and sharing materials, organizing data and record-keeping.
- Gather, enter, and/or update data to maintain records and databases, as appropriate; establish and maintain files and records.
- Serve as a point of contact and regularly communicate with agencies, funders, users, and other key constituents.
- Compose written documentation and correspondence; screen and evaluate incoming and outgoing correspondence and prepare responses as appropriate.
- Collect, document and share project successes and milestones through the appropriate channels.
- Assist with the coordination and preparation of formal, large meetings including tracking attendance, drafting communication and pre-read materials, venue selection and catering.
- Assist with project development, planning and implementation as directed.
- Prepare presentations, spreadsheets and reports.
- Execute special projects through interpreting objectives, setting milestones, prioritizing tasks, and managing timelines.

- Has strong communication skills and is at ease with individuals at all professional levels, including those in the highest levels of leadership and within the c-suite.
- Has an interest in marketing, communications and events.
- Able to work across organizational teams and prioritize competing demands.
- A master of the details.
- Able to coordinate schedules for individuals and larger groups.
- Applies a service-oriented mindset to daily work and values continuous improvement.
- Exercises sound, independent judgment in a variety of situations, but is also willing to ask questions and seek counsel when needed.
- Maintains professionalism and discretion when handling confidential matters.
- Expert proficiency in Microsoft Office and Google Workspace.
- Quick learner of new skills and software.
- Able to occasionally travel and work outside of standard office hours to accommodate meetings and events.
